Sales Assistant runs its dormancy scan automatically, around the clock, every few hours. You do not start it or check in on it.
What Runs Automatically
Each scan cycle, Sales Assistant checks every enabled source:
- HubSpot deals: late-funnel deals across your wholesale, main, FIG, and institutional pipelines with no recorded activity past the silence threshold.
- HubSpot contacts: engaged advisor contacts whose last note or update has gone stale, excluding any who already have an active late-funnel deal (those surface through the deal scanner).
- Gmail threads: conversations where you sent the last message and have not received a reply within the threshold window.
For each newly dormant entry it finds, Sales Assistant writes a draft, runs it through Brand Guard, places it in your Gmail Drafts folder, and posts an approval card to your Slack channel. Up to five new cards appear per cycle so the channel stays actionable.
If a cycle finds no new dormancy, nothing is posted.
On-Demand Scanning
You can trigger a scan at any time from Slack:

An on-demand scan runs the same checks against the same sources and follows the same five-card limit. It does not reset the automatic cadence.
Approval Card Timing
Cards appear shortly after each scan cycle completes. They do not expire on their own; they stay in the channel until you act on them with Open in Gmail or Dismiss.
Dormancy Thresholds
The silence windows that trigger a dormancy flag are set per source by your firm administrator in your Alpheous settings. Default thresholds are:

If the thresholds are surfacing too many or too few prospects (a wholesale pipeline that needs a tighter cadence than institutional coverage, for example), your administrator can adjust them without downtime.
