Meeting Assistant works in two modes: it watches your calendar on its own, and it responds when you ask.

Automatic Pre-Meeting Briefings

The agent checks your calendar every few minutes and produces one brief per meeting, about thirty minutes before it starts. Your firm can change that lead time on the dashboard's Meeting Assistant settings. You do not have to ask.

The brief is emailed to the people from your firm on the meeting who have the meeting prep brief switched on, posted to your Slack channel, or both, depending on your firm's delivery setting. It also appears in the meeting's workspace in the app. A meeting added to your calendar inside the lead time still gets its brief, as long as it has not started yet; a meeting on several colleagues' calendars is briefed once.

Automatic Post-Meeting Reports

After a meeting ends, the agent waits for your connected meeting recorder (Fireflies, Granola, or AskElephant) to deliver the transcript. When it arrives, the agent writes the report and posts it automatically. You do not have to ask. On an install without Slack, the report is recorded in the app's activity feed instead.

A meeting the recorder did not capture has no transcript, so it gets no report.

On-Request Any Time

You can ask for a brief or a report at any time, regardless of the automatic schedule. Asking for a brief on a meeting you already received one for produces a fresh version with any HubSpot updates since the last one. Asking for a report retrieves and reprocesses the latest available transcript.

Follow-up email drafts are generated automatically with each post-meeting report, one per external attendee. They wait on an approval card in your Slack direct messages; nothing is written to your mailbox until you approve a draft there. You can also draft a follow-up yourself from the meeting's workspace in the app, which lands in your queue on Outreach.

Task Creation

Task creation is never automatic. Action items appear as checkboxes on the report card. The agent proposes; you decide. The task is created in your project tool only when you tick a box, and is removed only when you untick it.
